Coach Registration

Hi all!

Ali here, your friendly neighborhood hockey registrar. It’s that time of year again – hockey registration!! I wanted to provide a couple reminders and points of clarification for those of you planning to coach or help on the ice/bench for this upcoming season!

 

  • You MUST be rostered in order to coach, help with practice, open the door on the bench, etc. If you plan to help with the team in any way – you must get on the roster! (This includes managers and locker room attendants).
  • In order to be rostered, the following requirements must be completed:
    • Background check (good for 2 seasons and cost is reimbursable)
    • SafeSport Training (must be done every season)
    • The following items are NOT applicable to managers or volunteers but MUST be completed for coaches:
      • CEP (Coaching Education Program) Level Courses (dependent on several factors – I can tell you what you level you need.)
      • Age-Specific Modules (dependent on team level – I can tell you what levels you have done and if any new modules are required)
      • Concussion Training  (good for 2 seasons)
      • Concussion Form  (must be signed every season)

 

I know it’s a lot – but it’s very important and necessary in order to comply with both USA Hockey and MN Hockey District 10 rules. I physically cannot roster a person without these things being completed; there isn’t a way around it. Some things take time to show as complete in our USA Hockey portal - the earlier these things are completed, the better! 

 

So why is all this stuff so important? To put it simply, our USA Hockey insurance is null & void if we have a non-rostered person on the ice/bench for any given team. If there were to be an injury, we would not be covered; this goes for both players and coaches. Meaning – we cannot pull players from other teams and we cannot pull non-rostered parents to help on the ice/bench - this puts the entire association at risk.

NOTICE TO COACHES

The first step is registering with USA Hockey.  Once you have your USA Hockey registration number for the 2023-2024 season you will then register with PCYH. When registering with PCYH you will need your USA Hockey number  Our Registrar-Ali will then receive this information and she can tell you what you need to complete for this season.  

Come to an in-person registration meeting and we will have laptops and a coaches checklist form available for you.  We want all of our coaches to complete their requirements BEFORE the redline date. 


STEP 1 - REGISTER WITH USA HOCKEY AND PCYH

USA HOCKEY REGISTRATION

Click Ice Player/Coaches and click the Above 'USA Hockey Registration' link. Follow the prompts to register for the 2023 - 2024 season.

PCYH REGISTRATION

Once you have registered with USA Hockey you will need to register with PCYH. You will need your USA Hockey number for this step. Thank You!

All coaches MUST register with USA Hockey each season. Each coach will pay the USA Hockey fee of $46 and $1 MN Hockey fee (total fee of $47). PCYH will reimburse coaches for their USA Hockey/MN Hockey fee after fully completing all of the coach registration requirements. 

Keep your USA Hockey number - you will need it for Safesport, CEP, and modules. 

You must register with PCYH. Once you do this our Registrar Ali will receive confirmation that you have a USA Hockey # for the season.

STEP 2 - LEVEL CERTIFICATION (VIRTUAL OR IN PERSON CLASS)

Register and complete your level certification class.

CEP classes may be offered via a virtual platform or in person. Classes tend to fill up quickly so register in advance.

STEP 3 - BACKGROUND SCREENING

Complete the MN Hockey Electronic Background Screening.

 All background screenings will be submitted through the new NCSI national screening program after April 1, 2020 and will be valid for two seasons. For example, a screen submitted and approved on April 15, 2022, will be valid through the end of the 2023-24 season, which is August 31, 2024. There is now a $30.00 fee for Background Screenings. PCYH will reimburse this back to you upon getting a CLEARED Background Screening - Please forward your MN Background Screening information to PCYH Treasurer(pcyhbilling@gmail.com) for reimbursement

STEP 4 - SAFESPORT

The training that must be completed by all persons subject to this Policy shall be the training produced and
provided by the Center and made available through access via USA Hockey’s website. No other training
shall satisfy the training requirements hereunder. The Center shall provide its “Core Center for SafeSport
Training,” and its “Refresher Courses.” The Core Center for SafeSport Training is taken online and generally
takes approximately 90-120 minutes to complete. The Refresher Courses are only available after a person
has completed the Core Center for SafeSport Training. The Refresher Courses are also taken online on an
annual basis (every 12 months) of Refresher 1, Refresher 2, and Refresher 3 before the person must take
the Core Center for SafeSport training again in year five, starting the cycle over. The Refresher Courses
generally take 30 minutes or less to complete. There is no cost to members of USA Hockey to complete
any training course.
Commencing with the 2022-23 membership season beginning on April 1, 2022, SafeSport Training will be
valid for twelve (12) months rather than a full membership season. To remain eligible for participation, Adult
Participants who are required to complete SafeSport Training must complete the next applicable SafeSport
course on an annual basis (every 12 months) following completion of the previous course. A person with
expired training shall be ineligible to participate as a coach, official, administrator, volunteer, employee or
in any role where they have Regular Contact with or Authority over amateur athletes who are minors, until
they have completed the requisite SafeSport Training.


STEP 5 - CONCUSSION TRAINING

USA Hockey requires coaches to complete concussion training. 

Coaches must complete a concussion training.  Below are two options that will satisfy the training requirements. 

You must complete this training prior to participating with a team or being placed on a roster. 

OR

Upon completing one of the above trainings, you should print your certificate and complete the certification form. 

You must submit the completed certification form and a copy of your certificate to Ali - Registrar. 


STEP 6 - AGE-SPECIFIC MODULES (ONLINE CLASSES)

You must complete each module PRIOR to participating with your team or being placed on a roaster.
